A workshop is rarely just the scheduled meeting. The agreement should make the preparation, client inputs, facilitation, documentation, and post-session delivery visible before the date is reserved.

Scope the engagement, not only the session
Describe the question the workshop is intended to address, the preparation the consultant will complete, the maximum session duration, and the tangible outputs delivered afterward.

Make client inputs a delivery dependency
List the materials, data, system access, and stakeholder availability required from the client. State that late or incomplete inputs may move the workshop or final delivery date.

Set rescheduling and cancellation terms
A reserved workshop date has an opportunity cost. Define how much notice is required to reschedule, whether preparation fees remain payable, and what happens after repeated delays.
Keep this proportional to the engagement. The aim is a clear operating rule, not a punitive clause.

Bill preparation and delivery visibly
A deposit can reserve the date and fund preparation. A second milestone can become payable before facilitation, with a final amount tied to delivery of the agreed report or roadmap.
Example structure
40% after signature to reserve the engagement, 40% before the workshop, and 20% when the written decision record and roadmap are delivered.
