Protect the original scope

Control scope creep with signed change orders

Document additional scope, price, and delivery impact before work begins while preserving the original client agreement.

All commercial controls

The commercial problem

When additional work is accepted inside chat or a meeting, the project can expand while the price and delivery date remain unchanged. A change order turns that conversation into a clear commercial decision.

CHECK

Signs the current process is too loose

  • 01New screens, features, or deliverables are being added in messages.
  • 02The client expects the original deadline after changing the scope.
  • 03Nobody can tell whether a request is a revision or a new deliverable.
  • 04Extra work is being invoiced without written approval.

Operating method

Put the decision into a visible sequence.

  1. 01

    Reference the original agreement

Identify the engagement and date so the change extends a known record instead of creating a second, conflicting scope.

  2. 02

    Describe the addition and exclusions

State exactly what is being added and what still remains outside the engagement.

  3. 03

    Show the commercial impact

Record the added cost, currency, payment timing, and any change to delivery or dependencies.

  4. 04

    Obtain approval before starting

Send the change order for signature and begin the additional work only after both sides can see the approved terms.

Applied to real client work

One control, adapted to three kinds of engagement.

Developers

A new integration, platform, user role, migration, or material acceptance change.

Product designers

Added screens, new research, a different product direction, or work beyond the included revision rounds.

Product consultants

Additional interviews, workshops, analysis, or an expanded advisory deliverable.

Clear answers

Common questions

Does a change order replace the original agreement?
No. It should reference and amend the original agreement only for the changes it describes. Terms that are not changed remain in effect.
When should a freelancer use a change order?
Use one when a request materially changes deliverables, cost, delivery time, dependencies, or acceptance criteria. Small clarifications that remain inside the approved scope usually do not need one.
Can a change order have its own invoice?
Yes. Once the client approves the additional cost, that amount can be invoiced separately or added through clearly identified payment milestones.
